Booking conditions Arctic Travel


Arctic Travel is responsible for the products you have booked with us. We will make sure that you get all necessary information and support. Please make your reservations by e-mail to This email address is being protected from spambots. You need JavaScript enabled to view it.


Arctic Travel will send an invoice in accordance with our booking conditions. For groups of 20 people or more, we charge a security deposit equal to 50% of the total price, to be paid one month prior to departure. Final invoice will be sent after the journey is completed unless otherwise agreed or required. Smaller groups will be charged 100% of total price to be paid one month prior to departure. Fees and interest rates set by The Norwegian Ministry of Finance will apply if payment is not received on time.

Cancellation policy

29-15 days prior to departure - Refund 50% of total price
14-0 days prior to departure - No refund

Adjustments up to 10% in group composition are allowed until one week prior to departure. Our suppliers and partners may have conditions beyond ours. We will of course inform you about the possible consequences resulting from these differences.

Force majeure

All parties have the opportunity to cancel due to force majeure, i.e. by government ascertainment of dangerous infectious diseases, natural disasters, war or similar events along the route. Refund will be 100%. If such circumstances mean that your trip will be shorter than planned, a proportionate price reduction may apply.

Price changes

As a consequence of a change in tax rates and changes in prices charged by our suppliers, Arctic Travel is entitled to change its prices. Price increase of more than 10% will give you the right to cancel your purchase. However, you must do so within one week of notification. Refund will be 100%.

Itinerary changes

We reserve the right to make changes in the program. However, if these changes are not acceptable, you are entitled to cancel or demand a proper price reduction. This right must be invoked within one week after you have received notification of the change.

Travel Insurance

We recommend all our travelers to ensure they have an adequate travel insurance covering sickness, accidents, luggage etc. Please check with your insurance company.

Cancellation protection

Arctic Travel offers a cancellation protection at a cost of 500 NOK per person. This covers the risk if you have to cancel due to something unexpected, however you must present a medical certificate or other official confirmation that proves the inconvenience. Upon such cancellation, we will reimburse the amount paid minus the fee for the cancellation protection.

Check travel documents etc.

Be sure to check that the name of the passenger you have reported to us is identical to his or her passport. Please also specify if there are special needs applicable to you or someone else in your party, for instance need for assistance with disability and / or special food. If essentials are not communicated to us within one week prior to departure, we cannot guarantee that they will be fulfilled.

Be sure to check the travel documents sent to you whether they fully correspond to what you wanted to order. If you fail to do so, you may lose the right to complain about any unexpected errors in the documents. We advise you to check your e-mail regularly, because notification of changes will be sent to the e-mail address you have given us. We urge you to read all our mail carefully as this may contain important information about your trip.

Pleasure and security

We wish everyone to have a nice trip. If one or more parties behave in a way that it is a nuisance to fellow travelers or creates safety or practical problems, we have the right to exclude that person or refuse further participation on the trip. Arctic Travel is in such cases not responsible for any additional expenses. Participants may be liable for loss or damage under the normal rules of compensation.

Connecting transportation

When ordering connecting transportation, please note that departure times may change. We encourage you to calculate extra time, as delays unfortunately may occur. Remember to keep a close eye on your entire luggage throughout your trip.

Norwegian Travel Guarantee

The Norwegian Travel Guarantee means that you are guaranteed your money back if the package tour is canceled due to bankruptcy. However, you must have purchased at least two of the three package items (transport, accommodation, excursions etc.) by the same organizer to ensure you are entitled to compensation from the Guarantee Fund. The services must cover a period of more than twenty-four hours or include overnight accommodation. In addition, you must ensure that your travel operator has issued guarantees. Not satisfied?

If you notice a shortcoming in the execution of the travel, we urge you to report this on site to the tour leader or service provider, so that they can arrange a proper solution. If your complaint cannot satisfactorily be resolved, please contact Arctic Travel immediately tel. +47 934 87 009.
